The University of Louisiana at Monroe (ULM) offers a streamlined process for obtaining official student transcripts through its Transcript Request Form. This form is designed to facilitate the efficient processing of transcript requests, whether delivered electronically or via traditional mail. Students can indicate their preferences for delivery methods, including electronic transmission to network or non-network recipients. The form requires essential personal information, such as the student’s name, contact details, and the specific delivery options chosen. For those who prefer electronic delivery, ULM has partnered with SCRIP-SAFE® International, allowing for secure transmission to various recipients. The form also includes options to hold the transcript for current grade postings or degree conferral. It is important to note that processing may take up to five working days, and students who attended prior to Spring 1987 may have limited options for electronic delivery. Clear instructions are provided to ensure that the request is completed accurately, which aids in the timely receipt of transcripts.

The ULM Registrar’s Office is pleased to announce the addition of electronic transcript delivery to its array of services. In partnership with SCRIP-SAFE® International, we are now able to provide official copies of student transcripts to eSCRIP-SAFE® network recipients and to non-network recipients through eSCRIP-SAFE’s® OneTime® feature. Please read the following to choose the electronic delivery option which best suits your needs:

NETWORK DELIVERY - Before completing your transcript request form . . .

review the compilation of eSCRIP-SAFE® network members to determine whether your intended recipient appears in the “Receiving Accounts” list.

If the recipient is a network member with a receiving account . . .

check the box by option A in the “Transcript Delivery” section of your transcript request form; and

type or print the network recipient’s name (exactly as it appears on the list of network members) on your request form in the space provided.

Be sure to put your email address in the “Student Information” section of your transcript request form. This allows eSCRIP-SAFE® to inform you of the status of the transmission of your transcript.

Note: If you wish to send an electronic transcript to any office other than the office associated with a network recipient’s name as it appears on the list of members, use the OneTime® option to ensure correct delivery.

OneTime® DELIVERY - Use this option for electronic delivery if . . .

your intended recipient is not a network member with a receiving account; or

your intended recipient is any office other than the office associated with a network recipient’s name as it appears on the list of members.

To select OneTime® delivery . . .

check the box by option B in the “Transcript Delivery” section of your transcript request form;

type or print the recipient’s name and email address in the space provided; and

include your email address in the “Student Information” section of your request form so that eSCRIP-SAFE® can notify you of the status of the transmission of your transcript.

If you select OneTime® delivery, you will also want to inform recipients that they . . .

will receive important email messages regarding where your transcript resides and how to access it in a secure manner (transcripts are never delivered by email);

should add the domain name of @escrip-safe.com to their safe-sender email list;

must complete a simple registration for each transcript delivered through eSCRIP-SAFE® (no software installation is required);

must have a copy of the free Adobe Reader 7.0 (or higher) installed on their computer; and

have three options for retaining the transcript: (1) save to the institution or agency’s document imaging system, (2) save electronically as a PDF document, or (3) print to paper.

Common mistakes

Filling out the University of Louisiana Transcript Request Form can be straightforward, but there are common mistakes that individuals often make. One frequent error is not including the correct name as it appears on official documents. This includes any maiden names or other last names used. If the name on the form does not match the name in the university’s records, it may lead to delays or rejections in processing the request.

Another common mistake is failing to provide a valid email address. If you select electronic delivery, the email address is essential for receiving notifications about the status of your transcript. Without this information, you may miss important updates, which can complicate the process of obtaining your transcript.

People also sometimes overlook the importance of indicating their current enrollment status. If you are currently enrolled at ULM, this should be clearly marked on the form. If you are not enrolled, providing your last date of attendance is crucial. Inaccurate or missing information in this section can cause confusion and delay in processing.

Choosing the wrong delivery method is another mistake that can lead to issues. If you select electronic transmission, ensure that the recipient is listed as a network member. If they are not, you must use the OneTime® delivery option. Misunderstanding the delivery options can result in your transcript being sent to the wrong place or not being sent at all.

Lastly, individuals sometimes forget to double-check all information before submitting the form. Simple errors, such as typos in the address or incorrect phone numbers, can lead to significant delays. Taking a moment to review the completed form can help avoid these common pitfalls and ensure a smoother request process.
